Job Title:                Clinic Receptionist

Responsibilities:

Administrative: Works under the direction of the clinic manager. Responsible for pleasant and effective communication with the public as well as assisting with timely and efficient scheduling of patient appointments. Data/demographic information entry into software programs utilized by office and hospital. May be responsible for collecting co-pays and other patient payments made in office

JOB DUTIES

  • Collecting co-payments and other professional fees. Scheduling patients’ appointments, phone calls to confirm existing appointments. Send insurance claims.  Make written patient financial arrangements.  Attempt to obtain payment and record such actions.
  • Answers phone – scheduling appointments, taking messages or refers incoming telephone calls to the appropriate administrative or clinical staff member for processing
  • Assists in filing duties: Looking for charts and continuously re-files processed charts back onto file rack.  Makes charts for new clients as needed. Readies charts for appointments as needed.
  • Keeps the waiting room clean.  Straightens as necessary throughout the clinic day.
  • Assists in keeping clinical office inventory and notifies supervisor when supplies need to be ordered.  Maintains inventory of necessary office supplies.
  • Performs other duties as assigned by the physician, midlevel provider, or office manager. 
  • May assist in integrating data from incoming reports into the appropriate EMR module on a daily basis in an efficient and accurate manner. Photocopies records for consultations or referrals as directed by supervisor/MD
  • Assists the physician in direct patient contact by relaying information under the direct instruction of physician.
  • Retrieves information for medical records.  Updates and maintains medical records in preparation for patient appointment, and is responsible for routing incoming patient data to physician for evaluation/review, and also responsible for maintaining (along with clinical professional nurse) computerized update of clinical problem list. 
  • May order refills of prescriptions at the time of clinic appointment with the physician’s permission and supervision.  May assist as liaison between pharmaceutical representatives and physician and physician assistant.
  • Places patient in the examination rooms and preparing patient for examination by the physician or the physician assistant.  Takes and records routine elements of systemic reviews:  elements of patient’s history, elements of present illness.  Takes vital signs of the patients, which include weight and height, temperature, pulse, respiration and blood pressure. Performs these duties in a timely and accurate manner to ensure efficient clinical flow.
  • Assists the physician with the treatment of the patient in the examination room and office, which may include IM injections, immunizations, suture removal, throat cultures, first aid treatment, pap and pelvic examinations, breast examinations, among others.
  • Is a clinic wide team player when answering and routing incoming calls. Processes or refers incoming telephone calls to the appropriate administrative or clinical staff member.
  • Maintains inventory of necessary medical/examination supplies needed for each of the examination rooms, and supplies needed for clinic. 
  • Performs other duties as assigned by the professional nurse, physician or physician assistant.

 

EDUCATION AND JOB REQUIREMENTS

  • Must possess high school diploma or GED. 
  • Must be self-disciplined and self-motivated to complete required job duties in a timely and accurate manner to ensure efficient clinical flow.
  • Ability to add and subtract three digit numbers and to multiply and divide with 10’s and 100’s.  Ability to perform these operations of American money and weight measurement, volume and distance.
  • Must possess the social and verbal ability to understand directions and to be communicative with the physician, patient and co-workers.
