DEFINITION

The office coordinator is an individual who works under general supervision and according to established procedures and expectations, greets patients, explains procedures, preps and answers phones. Will Coordinate relevant forms for patient testing. Process orders via hospital information system. Assists internal and external customers.

REPORTING RESPONSIBILITIES

The Office Coordinator reports to the department manager and assists in coordination of hospital and department resources to ensure all visitors receive the best patient care possible. Serves as a role model for competency and professionalism.

JOB ESSENTIALS

  • Be accountable for scheduling various complex imaging and medical procedures by obtaining appropriate exam information, specialized resources, and current/historical medical information.

  • Use intermediate and complex medical terminology and precise scheduling protocols to ensure compliance with exam procedures

  • Obtain all critical information needed to correctly and efficiently schedule and process imaging exams.

  • Must be able to work in a fast-paced, close-quarters, high-call volume environment.

  • Utilize multiple computer applications, scheduling software, network drives, reporting systems, to schedule exams & perform other duties as assigned

  • Obtain and manager all physician orders in a timely and efficient manner.

  • Effectively communicate with patients, imaging department employees, and physicians.

  • Provide superior customer service and service recovery, utilizing good judgment that meets and/or exceeds the expectations of patients, visitors, physicians, and MMH staff.

  • Assists with maintenance, monitoring, and updating department policies as directed by manager.

  • Accepts other duties as assigned by department manager.

Minimum Requirements

  • High School Diploma or equivalent

  • 1 year customer service experience

  • 2 years of experience in a healthcare related setting

 

Preferred Requirements

  • Associate’s Degree from an accredited institution
  • 2 years’ experience as a imaging scheduler
  • 5 years’ experience in a healthcare setting
  • Spanish as a second language preferred.

Physical Requirements

  • Must be able to: Perceive the nature of sounds by the ear, express or exchange ideas by means of spoken word, perceive characteristics of objects through the eyes, extend arms and hands in any direction, seize, hold, grasp, turn, or otherwise work with hands, pick, pinch, or otherwise work with fingers, perceive such attributes of objects or materials as size, shape, temperature, or texture; and stoop, kneel crouch, and crawl. Must be able to lift 20 pounds maximum with frequent lifting, carrying pushing, and pulling of objects weighing up to 25 pounds. Continuous sitting, walking, and standing. Must be able to identify, match, and distinguish colors. Rare lifting of greater than 50 pounds.
